As Managing Director of Libento Seniorenresidenzen GmbH, which is part of the Lindhorst Group, Anja Marquardt has a clear philosophy: flexibility and self-determination are very important in her new home, the senior residence in Wuppertal.

"I don't want to have breakfast at 6 a.m. and be in bed at 8 p.m. just because the duty roster says so," says Marquardt.

"With us, the institution adapts to the daily rhythm of the individual residents and not the other way around."

Of course, this requires flexibility - both from the nursing staff and from the software. For this reason, the managing director was looking for flexible software for the internal route planning of her employees that structures workflows, maps them transparently and adapts quickly to changes at short notice.

She sought support from experienced care expert Michael Wipp, who, with his company WippCARE, provides independent advice to care facilities and supports their processes - such as the implementation of the new staffing levels (PeBeM).

The Lindhorst Group has been using the elderly care software myneva.heimbas since 2016. In light of the introduction of the new staff assessment procedure, which will come into force in mid-2023, myneva came up with the plan to develop a module to help facilities implement the new PeBeM.

A project team was quickly formed, consisting of IT specialists from myneva, care expert Michael Wipp and employees from Libento. Together, they developed the "Inpatient route plan" module, which is based on the organizational form of outpatient services.

This route planning is not an isolated solution, but an integrated component of the mynveva.heimbas software, so that synergies for care documentation and duty roster creation can be used consistently. This saves time, as there is no need to enter information twice, and also minimizes the risk of errors.
risk of errors.

"The test phase of myneva's inpatient routing plan at Libento has shown that digital routing planning makes perfect sense not only for outpatient but also for inpatient elderly care facilities. With the new module from myneva, institutions can also optimally master the challenges of future staffing levels," says Wipp.

The changeover to efficient route planning with optimized deployment of specialist staff is a given for the consultant anyway.

Using PeBeM as an opportunity

On the one hand, the Nursing Professions Act and the new staffing levels in accordance with §113c SGB XI lay the foundation for sustainable and high-quality nursing training in fully inpatient facilities. On the other hand, the new procedure enables the precise staffing requirements to be determined based on the qualification level of the employees in the individual care situation on site.

The ratio of specialist staff will be replaced by a mix of qualifications, there will no longer be a minimum limit for specialist staff, and the number of specialist staff will take on a different meaning within the mix of qualifications. Against the background of
Against the backdrop of demographic change, this certainly poses a challenge.

"The skills-based deployment of employees will play a key role in determining the success and profitability of care facilities in the future and is also important for the satisfaction of staff and residents," explains Andreas Rath, Managing Director of myneva Deutschland GmbH. "Our Inpatient Route Plan module consistently helps to use existing personnel resources efficiently and improve the quality of care in the long term."

Particularly practical:

The module is also available to all employees as a mobile solution. On their tablet, they can find a clear display of exactly the activities that correspond to their level of qualification. Unnecessary journeys are avoided.

Activities can be marked as completed and progress reports can be written immediately on site - also by voice input. This makes documentation mobile, flexible and paperless. And bottlenecks are avoided during handovers. "What's important when organizing tours
is also the even workload throughout the day," says Wipp. "This is no problem thanks to the structuring of tasks in the myneva module.

A high degree of self-determination

and independence are also enjoyed by the employees at Libento. They estimate the time they need for the individual care steps for the residents themselves - this applies to team members of all qualification levels. Duty rosters are written by the staff themselves, not by the home management.

"Our employees are consistently involved in the decision-making process and are therefore able to react quickly to changes in the duration of care or in the event of illness," says Anja Marquardt. "The myneva Inpatient Route Plan module enables them to see for themselves which colleague still has free capacity and who may be at risk of being overloaded. They can also use the myneva module to independently manage and document short-term duty roster changes."

The myneva inpatient rota plan offers precisely the flexibility, transparency and efficiency that are important for elderly care facilities. The module is therefore also ideally suited for facilities with residents suffering from dementia.
